Payment & Cancellation Policy
Last updated September 25, 2026
Custom software is built for one client and cannot be resold, so our refund rules follow the work: what has been done is paid for, and what has not been done is not.
How payments work
Each project's quotation or agreement sets its payment schedule. That might be a down payment and a balance on delivery, or payments tied to milestones. Work starts once the down payment is received.
The down payment is non-refundable
The down payment reserves our team's time for your project and covers the discovery, planning and setup work that begins immediately. It is not refunded if the project is cancelled.
If you cancel a project
- Tell us in writing, by email or through your client portal.
- We stop work and total up what was completed up to the date of your notice.
- Anything you paid beyond the down payment that exceeds the value of completed work is refunded. If completed work is worth more than you have paid, the difference is billed.
- Milestones you have already approved are treated as completed and are not refundable.
- We hand over the deliverables you have paid for, under the licence in our Terms of Service.
If we cannot complete a project
If we end a project for reasons that are not caused by you, we refund what you paid for work we have not delivered.
Support plans and prepayments
Prepaid support, maintenance or hosting follows the terms of your package. Unused support hours do not roll over or convert to cash unless the package says so.
How to request a refund
Email solutions@brilliantlabsph.com with your project name and what you are asking for. We reply within 5 business days. Approved refunds are returned through the same payment method or by bank transfer within 15 business days of approval.
